How to Turn WhatsApp Enquiries Into a Sales Process

Most Indian SMEs run their sales on WhatsApp — and lose a third of their leads inside it. A simple structure can change that without new software.
In most Indian SMEs, WhatsApp is not part of the sales process — it is the sales process. Enquiries arrive there, quotations go there, follow-ups die there. The problem is not the app. It is that nothing around the app exists: no record, no stages, no ownership, no follow-up discipline.
The four-part fix
First, capture: every enquiry — WhatsApp, call, email, Instagram — gets logged the same day in one place. A spreadsheet is enough to start. Name, company, requirement, source, date. Second, qualify: two or three standard questions asked of every enquiry, so serious buyers are separated from price-checkers within the first exchange.
Third, stages: every open enquiry sits in exactly one stage — new, qualified, quoted, negotiating, won, lost. When everything has a stage, nothing hides. Fourth, follow-up rules: quoted but no response in three days? Follow up. A week? Follow up again with something useful, not 'sir, any update?' Most SME deals are won by the business that followed up professionally, not the one with the lowest price.
Do this for sixty days and you will know your real numbers for the first time: how many enquiries you actually get, where they come from, how many convert, and where they stall. That clarity alone usually pays for the effort.
